Bookings Report

The Bookings report shows all of your venue's bookings within a selected date range. The date filter is based on the date the bookings are for, not the dates that transactions are made

 

What is this report used for?

  • The purpose of using this report is to see all of the bookings that were made for the dates within a selected range
  • If you have products that are not for a specific date, the filter will bring them in based on transaction date

 

How does it work?

  • The data you see mirrors exactly the data in the Bookings tab (in grid view), with the addition of a summary matrix at the top, making it easier to find important stats (total booking cost, outstanding balance, and total guests) quickly
  • Note that the booking cost is value of booking regardless if it’s paid or not. The report automatically updates once the outstanding balance is paid

 

What data can you see?

You can filter the report by booking status and/or product name.

  • Booking Status is the current payment status of the booking:
    • All bookings which include fully paid, partially paid, and canceled bookings
    • Pending which means that no payment has been made against this booking
    • Complimentary which means that there is no payment required for this booking
    • Partially Paid which means that there is still an amount outstanding on this booking
    • Fully Paid which means that the booking is all paid up with no amount outstanding
    • Canceled which is for bookings which are marked as canceled by you (the Venue)
  • Product Name
    • You can include/exclude certain products from appearing on the product. Leaving it blank will include all products including archived product if there is a booking for that product on the selected date range
    • If you click “select all”, it will only include products that are active (not archived) as at the day you run the report

 

In order to adjust the column displayed on the report, select the window icon.

The columns available are:

  • Booking Name is the name given to the specific booking. If a name has not been manually applied it will be the name of the customer who has completed the booking
  • Contact Name is the name of the customer who has completed the booking
  • Booking Date is the date for which the booking is for. If the product sold does not require a specific booking date, this will be the same as the date transaction date
  • Transaction Date is the date and time the transaction was processed (local time)
  • Booking ID is the booking reference number in ROLLER
  • Booking status is the current payment status of the booking:
    • All bookings which include fully paid, partially paid, and canceled bookings
    • Pending which means that no payment has been made against this booking
    • Complimentary which means that there is no payment required for this booking
    • Partially paid which means thatthere is still an amount outstanding on this booking
    • Fully paid which means that the booking is all paid up and that there is no amount outstanding
    • Canceled which is for bookings which you (the venue) have marked as canceled
  • People is the number of guests in the booking
  • Cost is the cost of the booking to the customer
  • Balance is the outstanding amount remaining to be paid on the booking
  • Order Items is a list of the product(s) purchased and included in the booking
  • Comments is the Booking Notes added to the booking by the Venue
  • Session Time is the time the booking is for (only if it is a Session Pass)
  • Company is if the booking is linked to a company, the company name will be displayed here. Note that this information is only available if you use the Company module
  • Mobile is the mobile phone number of the customer who completed the booking
  • Email is the email address of the customer who completed the booking
  • Purchase Location is the area of the ROLLER system where the booking was created
    • VM - in Venue Manager/Admin
    • Online - online checkout flow
    • POS - in venue using ROLLER POS

This is report automatically included in your platform. Please contact ROLLER Support if this report is not made available to you. 

 

Frequently Asked Questions

  • How is this report different from the 'Bookings' tab in ROLLER Venue Manager?
    • This report is very similar to the Bookings tab and brings in the same data, however, this report allows for the metrics such as Booking Cost and Guests as totals, which are not available on the Bookings tab. There is more advanced exporting functionality on the Bookings tab though so if you are looking for an export of bookings it’s best to do it from there.

 

Case Study

  • Adam would like to see how many bookings for 31 January 2018 and whether there are outstanding payments he has to collect. Adam then needs to run the Bookings report and change the date filter to 31 January 2018
  • A customer asked how to retrieve the email addresses of people who booked a particular product. This can be quickly done by filtering the bookings report selecting the desired product and by exporting it to an excel file
